    Stop Late Comings. Motivate your employees to be on time.

    As a Manager, you always had this difficult problem of managing latecomers. And many times you tried convincing yourself that some employees are too hard to change, no matter how you motivate them.

    Here are some points to stop late comings forever, with guaranteed results.

    1. Track your employees with an accuracy of minutes
    The first and foremost thing to do is to record employee in/out times accurately. As a human, it’s impossible for you to track an employee every time he comes in or goes out. You can automate this by using a time attendance device. If you don’t have one, buy a new one; it doesn’t cost much.

    2. Attendance tracking, with an option for manual editing
    Time Attendance devices are very accurate in tracking your employees. But as a manager it should be possible for you to add, delete or edit data coming in from time attendance devices. Sometimes, one of your employees is late because he was on a client visit. Your time attendance device will indicate it as a late coming, but as a manager you want to change the data to include the fact.

    3. Consolidate and analyze your findings
    So you had been tracking employees for some time; now, consolidate your findings. Create employee wise monthly or weekly reports on latecomers. Also create department wise reports on latecomers. Analyze how many hours were lost because of latecomers.

    4. Present your findings to your employees and management
    Send monthly attendance summary reports to each employee, at the end of every month. Let the employees know that they are being traced. Send department wise attendance reports to department managers.

    5. Implement new company policies
    If your company doesn’t have good policies on late comings, create new policies. For eg. If an employee is late for more than three times a month, he loses salary for a day.

    6. Motivate your employees. Find employee of the month.
    As you have accurate attendance data, find the employee with the best attendance record for the month. Display the information in your notice board, publish it in your internal website, and motivate other employees.


    Just imagine doing all these manually; it’s nearly impossible. You really need a software that can automate all these. A good HR software can do the following for you:

    1. Interprets data coming in from a time attendance devices
    2. Allows manual editing of interpreted time attendance data
    3. Generates consolidated employee, department wise reports

    The things that you mention have nothing to do with motivating your employees. They are necessary tracking processes... not motivation by any means..

    To keep employees motivated you have to give them a “pat on the back” make them feel as if they are worth somthing other than a time card punching in/out every day. Know your employees by name and be considerate of them, calling them by name and/or giving a “Good morning” goes a long way. I know that when you treat your employees with kindness and respect you get more quility work and they are willing to put more effort out on your behalf.

    vmgbpo: You mentioned a good point.

    Attendance is a big issue in many companies, especially manufacturing companies in third world countries.

    And in many cases, you need to motivate employees to come on time.

    But I must agree that this is not applicable for many other companies, especially companies with delivery based projects.

    Positive enforcement is a great tool to avoid your employees from late comings but I think it has nothing to do with the MOTIVATION.

    I have the feeling this only works for low-skill work. If you have high-skill work it's much more difficult. E.g. you have computer programmers that do in 6 hours a day much more and better than somebody working 10 hours a day

    Employee Time Tracking Software can be the most useful tool for any company, no matters whether it is small or big. Such software will be helpful to have whole track of the employees’ attendance and can make you sure whether employees are complying the policies or not.

    There has to be at least some form of agreement for this though. That is because some employers actually impose a tracking system that not all employees agree to. It has to be disclosed up to what extent is being tracked.

    In our case, we just track work hours and computer usage. The employees can do anything they want at work. No restrictions but they are fully aware that they are being monitored.

    We are more productive that way.

    Let's motivate our employees by setting up a system that is all about the system and about the people. Right? Wrong.

    Now as far as tracking employees... In business, if you want to track the 'comings and goings' of employees have a manager/supervisor "on the floor" all the time. It is their responsibility to control labor costs so let them do it. I am talking SMEs here and there is no need for an over-the-top state-of-the-art hyphenated system. Keep it simple and personal.

    Now let's talk about motivating employees rather than selling systems.

    I would have to agree that you have some great ways to prevent late comers to work. But, I must say that number 6 is the one that I agree with the most! You can motivate your employees with great gifts as well. I help business professionals with this and I understand that motivation with gifts, will help you with this issue.

    Time is an asset. You and your company’s employees have to take it seriously. These are fantastic tips to motivate your employees to come on time. I liked point no 5, and 6 most. If you cut salary, this will ultimately come with positive result.

    I don't get the whole "Motivate your employees to be on time". Motivate? They know what time we start to work and should be held accountable. We are adults and not children. It is their responsibility to be on-time. If not, then warnings, counseling, written reprimands, etc. should take place. I have been in the workforce 31 yrs and not one place I have worked has their been anyone "motivating" people to come to work on-time. If you want to keep getting a paycheck, then be on-time. Like Dave Ramsey says, "The third time you are late, bring a box with you."
